How Much Can a School Fundraiser Really Raise? What the Numbers Show

Frances Freeman October 27, 2026 3 minutes read

Every PTA and PTO meeting eventually lands on the same question: how much can we realistically expect to bring in this year? The honest answer depends less on how hard volunteers work and more on the format a school chooses. Some fundraisers look busy and profitable but return surprisingly little once costs are subtracted. Others quietly outperform expectations. Looking at the numbers behind different approaches helps schools set goals with confidence and pick a model that actually pays off.

Breaking Down What Schools Actually Keep

Start with the difference between total sales and money kept. Traditional product fundraisers, such as catalog sales of wrapping paper, cookie dough, or candy, often look impressive on paper. But a large share of every order goes to the vendor to cover the cost of the goods, shipping, and handling, leaving the school with a much smaller piece of each sale. When a family spends twenty dollars on a tin of popcorn, only part of that money ever reaches the classroom.

Donation-based models change that math. Because there is no inventory to buy, sponsors give directly toward the school’s goal. With ReadaFun, for example, schools keep 80% of every dollar raised, deposited straight into their account.

Participation is the next big factor. A fundraiser only raises as much as the number of families willing to take part. Formats that students enjoy tend to draw more sponsors, and reading-based campaigns give kids a reason to stay involved for the full campaign rather than losing interest after the first week. ReadaFun reports that schools raise 35% or more than they do with other types of fundraisers, and that active teacher involvement boosts results by another 37%.

Volunteer time matters too, even if it never shows up on a balance sheet. Every hour spent sorting orders or chasing late payments is an hour taken away from planning, outreach, and celebration. ReadaFun’s format needs about 75% less volunteer time, and some schools run the entire campaign with a single coordinator.

Finally, real results show what is possible. ReadaFun has helped schools raise more than $10 million and has engaged over a million students. Individual schools have posted standout totals, such as Woodland Elementary in California, which raised $81,962.

So how much can a school fundraiser really raise? Enough to fund field trips, library books, classroom technology, and more, as long as the format works in the school’s favor. The strongest results come from models where families give directly, students stay motivated, and volunteers are not stretched thin. When a school compares options by what it keeps, not just what it sells, the right choice usually becomes clear. The best kids fundraising results come from campaigns students are excited to join, not ones they are pushed to sell for.
